Proper Water Cooler Use & Maintenance
The complete experts' guide — practices that keep your water cooler in top condition for over 10 years.
A water cooler can run flawlessly for years — or give you trouble from the very first month. The difference is not the brand: it is how you use it. In 20 years of experience with water coolers in homes and large businesses, we have seen that almost every problem is prevented with a few correct habits.
Proper use in 5 points
If you read only one thing, let it be this.
Daily draw-off
Run water from every tap each day — no stagnant water.
Controlled hot water
Switch the hot tank on only when you need it — never permanently.
Bottle in the shade
Away from sunlight, consume within 2-4 days.
Correct installation
By a technician — the single most critical step.
6-month service
Regular check-up with filter replacement.
The 5 most common mistakes
These we see again and again during service calls.
Bottle with high mineral content
Causes scale build-up, leaks and a noticeably poor taste.
Stagnant water
The #1 cause of bad odour when you do not draw water from all taps.
Hot tap left permanently on
Builds up scale and over time burns out the heating element.
Sunlight on the bottle
Algae (green growth) develops inside the water.
Neglected maintenance
Small issues turn into expensive breakdowns.
Correct daily use
Four habits that make the biggest difference.
- Daily draw-off of 2-3 glasses from each tap (cold, hot, ambient).
- Weekly boil cycle: if you do not use the hot water often, every Monday switch the hot tap on until the first boil, then switch it off.
- Bottle consumption: 2-3 days in summer, 3-4 days in winter.
- After inactivity: let 1 litre run from each tap before drinking.
Bottled or mains-fed?
Each type has its own critical variable.
Key: the water quality
Choose bottled water with low mineral content and a stable composition. Consume within 2-4 days of opening.

Hard water or water with rust needs the appropriate filter, with professional service every 6 months.
See mains-fed coolersFilter replacement: when
The most critical maintenance point on a mains-fed cooler.
The rule: every 6 months. Bring it forward to 3-5 months if the water quality is poor, consumption is high, or the hot tank runs continuously. Replace the filter earlier if you notice a change in taste, an odour, dark particles or white deposits in the water.
Cleaning & disinfection
For DIY cleaning, a natural solution of baking soda and vinegar is safe and effective, leaving no chemical residue. On the taps and the bottle valve avoid chemicals — use hot water only. The drip tray grille can even go in the dishwasher. For the internal tanks, professional disinfection is recommended every 6 months together with the regular service and filter replacement. Before & after holidays
If you will be away for more than a week: switch off the back switches and unplug it, empty and remove the bottle (or shut the supply on a mains-fed unit), and drain all the water from the taps and the rear drain plug. On your return, let 1 litre run from each tap before drinking. After 2-3 weeks of inactivity, a good flush is usually enough — a new filter is generally not required.SOS: installation determines everything
If you pay attention to one thing only, let it be this. A single mistake on day one can destroy a brand-new cooler.
- Always transport upright — if it has been laid on its side, wait 24 hours before operating it.
- Installation by a technician — the initial connection is the most critical step.
